Sell

Ring up stock, price made-to-order pieces, and keep every discount honest.

Why it matters

Staff sell from a photo grid with big buttons, so a new hire sells on day one. No price guessing, the tag price is the price.

How it works
  1. Open POS and tap the piece in the catalog grid
  2. It lands in the cart at its listed price
  3. Take payment and the receipt sends itself
Custom and quote builderDescribe any made-to-order piece, by voice or typing.
Why it matters

A customer can want something you do not stock. Describe it, attach a reference photo, and mark options that do not apply as N/A so the record never contradicts the wish.

How it works
  1. In POS tap + Custom
  2. Type or dictate the description, snap a reference photo if useful
  3. Pick stone and metal options, or tap N/A on any that do not apply
  4. Add to cart. If nothing is priceable yet, the register asks you to confirm a price
Trade-in and buyback engineA fair offer for the jewelry a customer brings in.
Why it matters

The offer is computed from live metal prices and the diamond grade matrix, not a guess, so every buyback is defensible.

How it works
  1. In the cart tap + Buyback offer
  2. Enter metal, weight and stone details
  3. The offer applies to the sale as a trade-in credit
Discount guardrailsPreset 5 to 20 percent buttons, owner PIN above 10 percent.
Why it matters

Staff can close a deal without calling you, but a deep discount needs your PIN and every discount is logged with a name.

How it works
  1. In the cart tap a preset, or type an amount
  2. Above 10 percent the register asks for the owner PIN
  3. The discount shows on the receipt and in reports
Salesperson and commissionEvery sale credited to the right rep on a shared iPad.
Why it matters

One iPad, many sellers. The register asks who is selling, so commission comes from the system instead of a spreadsheet argument.

How it works
  1. Pick your name in Selling as at the top of POS
  2. Sell as normal
  3. The owner opens Commission for the month and reads the payout per rep
Loyalty pointsCustomers earn on every sale and pay with points later.
Why it matters

A reason to come back that costs you nothing until it works. Points reverse automatically on refunds, so the balance always adds up.

How it works
  1. Attach the customer to the sale
  2. Their balance shows in the cart, type how much to redeem
  3. Points come off the bill like cash
In the case and in the vault

Inventory

Every piece with its certificate, and stock that cannot lie.

Certified-piece recordsEvery stone with its 4C, certificate and photos.
Why it matters

Square sees a price tag, maca sees the stone. Lab, certificate number, grades and photos live on the record, so you always know exactly what you own.

How it works
  1. Open Inventory and tap Add product
  2. Fill the certificate details and add photos
  3. Print the QR label and it is sellable at the register
Live stock controlSold means sold out, everywhere, instantly.
Why it matters

A sale decrements stock inside the transaction, so two reps cannot sell the last piece twice. Sold-out tiles grey out by themselves.

How it works
  1. Sell as normal, stock updates itself
  2. Sold-out pieces show Sold out on the grid and refuse a tap
  3. Set a low-stock alert level per product and watch the badge in Inventory
Purchase ordersOrder from a supplier, receive, stock updates itself.
Why it matters

Restocking is two taps instead of editing quantities by hand, and the paper trail of what was ordered from whom writes itself.

How it works
  1. Open Purchasing and tap New order
  2. Pick products, quantities and the supplier
  3. When the box arrives tap Receive and the shelf count updates
Vault check-out logQR scan every piece that leaves the vault.
Why it matters

Showings, memos and repairs are where pieces go missing. Scan out, scan back in, and shipping is blocked while a piece is unaccounted for.

How it works
  1. Open Vault and scan the piece QR to check it out
  2. Pick the purpose, a showing, a memo or a repair
  3. Scan again when it returns. An open checkout blocks Mark shipped
AI photo intakeSnap a photo, the record drafts itself.
Why it matters

Typing 40 fields per piece is why inventories rot. The AI reads the photo and drafts category, style, shape, metal color and a carat estimate. Grades still come from the certificate, because a photo cannot grade a stone.

How it works
  1. In Add product tap Identify from photo
  2. Snap the piece
  3. Review the drafted fields, confirm grades from the certificate, save
One-spreadsheet importYour whole catalog in, from one template.
Why it matters

Moving in is the scariest part of switching systems. Fill one spreadsheet and the entire catalog lands in the register in minutes.

How it works
  1. Open Import and download the template
  2. Fill one row per piece
  3. Upload it and review the import summary
Money in

Payments

Card, bank, cash, wire, split. Recorded once, reconciled forever.

QR card paymentsCustomer scans, pays on their phone, sale completes itself.
Why it matters

No terminal hardware needed to start. The customer pays by card, Apple Pay or Google Pay on their own phone and the register finishes the sale the moment the money clears.

How it works
  1. Choose QR at payment
  2. The customer scans the code with their camera
  3. The sale completes and the e-receipt sends
Counter card readerTap or insert on a real reader, card-present rates.
Why it matters

Chip and tap at the counter carry lower fraud liability than typed-in cards. The amount appears on the reader by itself, no retyping.

How it works
  1. Pair the reader once in Settings
  2. Choose Reader at payment
  3. The customer taps or inserts, done
Pay by bank, ACH0.8 percent capped at 5 dollars, instead of card fees.
Why it matters

On a 5,000 dollar ring a card costs you well over a hundred dollars. A bank payment costs five. Send the link for big tickets.

How it works
  1. Open the invoice and tap Pay by bank
  2. Send the link by email or WhatsApp
  3. The sale marks itself paid when the transfer settles
Cash, wire and split paymentsAny mix of methods on one sale.
Why it matters

High-ticket reality: half wire, half card, a deposit today and the rest on pickup. The register records the mix and computes change.

How it works
  1. At payment tap Add payment for each method
  2. Enter the amounts, the register tracks the remainder
  3. Everything lands on one invoice
Ship-safe payment gateNothing ships until its payment is verified.
Why it matters

The expensive mistake is shipping against a payment that never settled. Mark shipped stays locked until the money is confirmed in the log.

How it works
  1. Take payment as normal, links and QR payments are logged
  2. Open the order when it is time to ship
  3. Mark shipped unlocks only once payment is verified
Paper trail

Trust and compliance

Proof for the buyer, records for the IRS, and a log nobody can edit.

AGA appraisal at the registerAn official appraisal certificate, issued from the sale.
Why it matters

Most stores send buyers elsewhere to appraise. You hand proof at the counter, for insurance and resale, in the same minute they pay.

How it works
  1. Complete the sale
  2. Tap Appraisal on the receipt screen
  3. Print it or send it with the e-receipt
Digital Ownership PassportA QR page the buyer keeps and shares.
Why it matters

The buyer gets a permanent page with the piece, its specs, your store and the certificate. No price on it, so they can show it to anyone.

How it works
  1. Created automatically when a sale completes
  2. The QR prints on the receipt and rides in the WhatsApp message
  3. The buyer scans it any time, anywhere
IRS Form 8300 helperBig cash sales collect the right data by themselves.
Why it matters

Cash of 10,000 dollars and up requires a filed Form 8300. The register refuses to complete such a sale without a customer attached, collects the identity data, and prepares everything for your CPA. You file it, maca never files for you.

How it works
  1. Take a large cash payment as normal
  2. The register asks for the customer and KYC details
  3. Open Compliance to hand the prepared data to your CPA
KYC records, owner onlyIdentity data encrypted, visible to the owner alone.
Why it matters

Compliance needs identity records, staff do not. KYC data is encrypted and readable only by the owner login.

How it works
  1. Collected during large cash sales or added on the customer
  2. Stored encrypted
  3. Only the owner account can open it
Audit log nobody can editEvery discount, void, refund and price change, with a name.
Why it matters

For six-figure inventory the question is never if you will audit, it is whether the log is trustworthy. Entries are append-only, so they cannot be cleaned up after the fact.

How it works
  1. Nothing to do, it records by itself
  2. Each entry keeps who, what and when
  3. The owner reviews it from Reports
No double-sell, everA unique piece can only be sold once. Enforced by the database.
Why it matters

Two iPads, one ring, one buyer. The database itself refuses the second sale, even if both taps happen in the same second.

  2. The second attempt is refused with a clear message
  3. Voids and refunds put the piece back on sale correctly

Reports

Dead stock is frozen cash. The aging view shows exactly which pieces to move, memo out or re-price.

Why it matters

A customer wants a stone you do not carry. Borrow it on memo from another District store inside maca, sell it, and the loan and settlement are tracked for both sides.

How it works
  1. Open Network and find the stone
  2. Request it on memo, the owner store approves
  3. Sell it at your counter, settlement is recorded for both stores
Online order importShopify orders land in the same books, no API keys needed.
Why it matters

If your website runs on Shopify, export its orders as a CSV and they join your in-store sales in one ledger, one tax report, one export.

How it works
  1. Open Channels and pick Online orders
  2. Upload the Shopify CSV export
